Classroom tools
What Numbiano keeps
The classroom tools work without anything being kept at all. Things are kept only when a teacher makes a class and children send work to it. This page says exactly what that is, where it is, for how long, who can see it, and how to delete it. It is the page to hand to a school's data-protection lead.
What is kept
| Kept | What it holds | For how long |
|---|---|---|
| A class | Its code, the name, year group and symbol (one of Numbiano's own pictures) the teacher gives it, the teacher's settings for the tools, and its teacher key - stored only as a one-way scramble, never as the key itself. | Until the teacher deletes the class. |
| The class list | Each child's first name and the six-character code on their sticker. If the teacher makes groups of children, each group's name and who is in it. Nothing else. | Until the teacher takes the child off, forgets them, or deletes the class. (A code has to keep working all year.) |
| Work handed in | The piece itself (the same thing a saved file holds), the first name or code it came with, when, a return code, the teacher's note on it and when the child read it, and which piece of set work it answered. | 400 days, then deleted automatically. |
| Pieces a child has saved | A piece a child saves to their own space without handing it in (up to 50), which tool it was made in, which piece of set work it was made for (if any), and when it was made, last saved and handed in. Only the child opens these, with their own code; their teacher does not see them until the child hands one in. | 400 days after it was last saved, then deleted automatically. Deleted with the child, or with the class. |
| Whole-class singing notes | When a teacher's board leads the class in Ear Training and Sight Singing's Sing together and the teacher chooses to keep a note: what the class sang, how many times the room was on the note, how many it sang open and how many it hummed, and when. It is the class's, not a child's: no name, no recording and no notes a child sang. | 400 days, then deleted automatically. |
| Scores | Which test, the year group, how many right out of how many asked, a short description of the test (for an Echo round, its level and whether it was passed; for a riff on Hooks & Riffs or Four Chords, which riff and which part; for Typing Practice, only the step and how many were right - never anything a child typed, and no password of any kind; for Mouse Practice, only the game and how many were right first time - never where the pointer went or what was clicked; for Number Keys Practice, only the stage, major or minor, whether it was played in time, and how many were right - never a key that was pressed; for Numbers and Letters Practice, only the game, the Tonal Centre and how many were right - never an answer a child typed; for Stave Notes Practice, only the step, the game (Name it, Place it, Spell the word, Write the word or Copy the riff) and the Tonal Centre, never a letter or word typed, where a note was dropped, or which riffs were played; for Ear Training and Sight Singing's sung steps (numbers, intervals, chords, phrases, arpeggios, scales and warm-ups), only the step, the rung, the voice (high or low), and whether it was played, whether the vowels could be read and whether a headset was used, with how many were right - never a recording of a voice or the notes a child sang; for Drum Keys Practice, only the step, the speed, the sound and whether the click was on, and how many hits were in time (or, for a jam, the longest run of bars played the same) - never a key that was pressed or when a hit was played; for an end-of-unit assessment, which questions were missed - never the answers a child typed or played - and, for its music, whether the Chromebook's sound was working and when the page was built, nothing about the child or the device beyond that), when, the teacher's note and when it was read, and which piece of set work it answered. | 400 days, then deleted automatically. |
| Progress on the Echo pathway | For a child who signs in: which Learn units they have opened and played, how far each of their Echo ladders is open and their best score on each level, their best score on each Learn unit and Solo Stage piece, and the year group they chose. No name in it: it is filed under the child's place on the class list. | While the child is on the class list; deleted with them, or with the class. |
| Set work | What the teacher set (a test, a lesson with the instructions and learning objectives the teacher wrote for the children, a piece to finish), the due date, which children it is for, each child's ticks on a lesson's steps, and which of its resources each child has opened. | 400 days after it was set, then deleted automatically. |
| A class game | The first name or code each player joined with, the avatar, colour and move they chose, and their answers. | Deleted the next day. The scores the teacher keeps at the end are kept as scores. |
| A class concert | The first name or code each child joined with, whether they have a tune to play, whether they said "not today", and the order of turns. No music, no words and no scores. | Deleted when the teacher ends the concert, and in any case the next day. |
| A teacher space | The teacher's chosen name for it, its key (one-way scrambled), the classes it holds, and the teacher's own lessons (with the overview and instructions the teacher writes for each), units (each with the teacher's own overview), lesson slips, songs, posters, pages, learning objectives, curriculum maps, schemes of work and files, and what teachers share with each other (never a child's work or name). None of it can be opened by a child: a file reaches children only when their teacher sets it in a lesson, and then only the children it is set to. | Until the teacher deletes them. A teacher's own teaching material is not a child's record and is never swept. |
What is not kept
- No surnames, email addresses, logins, passwords, dates of birth or photographs.
- No advertising, no tracking, no cookies, and nothing sold or shared with anyone.
- No record of how long anyone spends on a tool.
- To stop codes and keys being guessed, the server keeps a one-way scrambled mark of a browser for ten minutes (fifteen after a wrong teacher key), then throws it away. It cannot be turned back into an address or a person.
- Each tool remembers its own settings (a year group, a sound, which view) on the device, not on the server. Clearing the browser clears them.
Where
On Numbiano's own web hosting with IONOS, in Germany, inside the European Union - the same server as this website. The data folder cannot be opened from the web. Nothing is copied anywhere else.
Who can see it
- The teacher, with the class's teacher key or their teacher space's key, sees their class: the list, every piece handed in, every score, the set work and the notes. Not the pieces a child has saved and not handed in.
- A child, with the class code and their own code, sees only their own: what was set for them, their own work and scores, the pieces they have saved, and their teacher's notes on them. No child can see another child's work, and no child can send a message to anyone.
- Nobody else. Nothing about a class is public.
How to delete it
- One piece or one score: the teacher deletes it in the teachers' area.
- Everything about one child (when a child leaves, or a parent asks): on the child's page in the teachers' area, Delete everything about the child. Their work, saved pieces, scores, notes, ticks, Echo progress, work set to them alone, and their line and code on the class list all go, at once and for good.
- A whole class: the class's Options, then Delete the class.
- Anything older than its keeping time is deleted by the server on its own, without anyone asking.
For a school
A child's first name and their schoolwork are personal data about a child. When a school uses these tools, the school is the data controller and Numbiano keeps the data only to show it to the teacher and to the child it belongs to. Questions to hello@numbiano.com.
This page describes the classroom server as it is (version 4563). When what is kept changes, this page changes with it.
